Accounting — getting started

What the Accounting module is, how the books work in plain words, and the first four things to do.

What it is

One place for your company's books. Every sale, purchase, expense and payment becomes a voucher: one entry written twice — once as a debit, once as a credit — so the two sides always agree. The database refuses an entry that does not balance, and a posted entry is never edited or deleted; a mistake is fixed with a reversal (the mirror-image entry).

Your shop's invoices, credit notes and payments post themselves. You record the rest: offline sales, supplier bills, expenses, and money moving between cash and bank.

Steps

  1. Accounting → Settings → Post existing invoices to books. One click; safe to repeat.
  2. Opening balances. Type what you had in cash and bank, the value of your stock, and who owed you on the day you started, then press Post opening balances.
  3. Add your CA's email on the same page.
  4. Record this month's expenses (Accounting → Expenses) and supplier bills (Purchases) so the GST you paid is claimed back.

Words you will meet

  • Sundry Debtors = customers who owe you. Sundry Creditors = suppliers you owe.
  • Input tax credit (ITC) = GST you paid on purchases that you subtract from the GST you collected.
  • Place of supply = the state the goods go to; same state → CGST + SGST, another state → IGST.
  • Financial year runs April to March. Numbers restart each year (INV/2026-27/0001).

Who can see it

The admin sees everything. Staff can be given three keys on Settings → Team: *Record expenses*, *Record purchases*, *See accounting reports*. Invoices, payments, parties, settings and the month lock stay with the admin.
