Sales invoices (manual and uploaded)
GST invoices for sales outside the shop, credit and debit notes against them, and recording invoices you made elsewhere.
What it is
Your shop's orders get their tax invoice automatically when you mark them shipped. For a sale made any other way — a B2B order, a counter sale, a WhatsApp deal — raise the invoice here. It is numbered in your own series (prefix in Settings, e.g. INV/2026-27/0001), posted to the books, and printable.
Steps
- Accounting → Sales invoices → New invoice. Pick the customer (add one under Parties if needed), the date, and the place of supply if it differs from the customer's state.
- Add lines: description, HSN/SAC, quantity, rate before GST, discount, GST rate. The total rounds to the rupee; the round-off goes to its own account.
- Issue invoice. Open it to print or save as PDF; record the payment from the same page when it arrives.
- Credit note / debit note: from the invoice page. A credit note lowers what the customer owes (goods returned, price cut); a debit note raises it. Both are in GSTR-1.
- Upload an invoice made elsewhere: attach the PDF or photo, type the printed number and the lines. It joins your registers and returns; the file is the document.
Good to know
- A number, once issued, is final. Cancel with a credit note; nothing is deleted.
- A B2B invoice (customer with a GSTIN) prints the buyer's GSTIN and goes to table 4 (B2B) of GSTR-1.
- If your own GSTIN is missing, the document says "unregistered seller": set it under Settings → General → Tax.
